About this role
We are seeking a dedicated and detail-oriented Executive Assistant with a strong background in Accounting and Business Operations. The ideal candidate will be responsible for monitoring business listings, reaching out to business sellers via calls and emails, and providing administrative support. Candidates with a background in accounting firms and hands-on experience in Accounts Payable (AP) and Accounts Receivable (AR) will be prioritized.
Key Responsibilities:
- Monitor and manage business listings across platforms.
- Communicate with business sellers through professional calls and emails.
- Draft, proofread, and send correspondence with flawless English grammar and tone.
- Assist with daily administrative and executive support tasks.
- Handle Accounts Payable functions, including invoice processing, vendor management, and payment scheduling.
- Manage Accounts Receivable processes, including billing, collections, and reconciliations.
- Maintain accurate financial records and support bookkeeping tasks as required.
- Prepare reports, maintain organized documentation, and ensure deadlines are met.
- Collaborate with team members and management to ensure smooth business operations.
Requirements
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Prior experience in an accounting firm is highly preferred.
- Solid knowledge of Accounts Payable and Accounts Receivable processes.
- Experience with accounting software (e.g., QuickBooks, Xero, or similar).
- Familiarity with CRM systems or business listing platforms.
- Excellent verbal and written communication skills in English (must sound natural and professional).
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other productivity tools.
- Detail-oriented, proactive, and able to work independently.
