About this role

The Estimator & Facilitator helps us choose the best vendors at the best price.
This role looks at job scopes, compares bids, talks to vendors, and helps owners and HOA boards make smart choices.
Good estimating and vendor management help keep our clients happy.

What You Will Do

1. Estimating & Pricing

Review job scopes and ask clear questions.

Create accurate and fair estimates.

Avoid underbidding while staying competitive.

Factor in risks like weather, labor, and material costs.

Compare vendor bids so pricing and scope match.

2. Vendor Sourcing & Negotiation

Find, vet, and manage vendors.

Review pricing, scope, and performance.

Negotiate pricing and contract terms when needed.

Address service issues, price increases, and disputes.

3. Process, Organization & Documentation

Handle the full process: site walk → quote → approval → contract → tracking.

Track bids, renewals, and vendor compliance.

Collect COIs, W-9s, licenses, and other documents.

Use tools like Buildium, Asana, and Google Drive.

4. Client & HOA Support

Explain vendor options to boards and owners.

Present price, quality, and risk clearly.

Help boards make fast and confident decisions.

Protect the client’s best interest at all times.

5. Operations & Problem Solving

Plan for snow season and emergency work.

Step in when vendors fail or problems come up.

Handle urgent quotes while staying accurate.

Scale fast when new properties are added.

Qualifications

Experience in estimating, vendor management, or facilities/property services.

Strong understanding of pricing, scopes, and contracts.

Comfortable negotiating with vendors.

Very organized and detail-oriented.

Good written and verbal communication skills.

Able to explain decisions clearly to non-technical clients.

Experience with property management tools is a plus (Buildium, Asana, Google Drive).
